SEDEX Certificate: Everything You Need to Know

SEDEX Certificate stands for Supplier Ethical Data Exchange. It is a non-profit organization that assists companies in smoothly managing global supply chains in an ethical and responsible business practice. Founded in 2001, it also helps generate transparency by presenting a data exchange.  Additionally, SEDEX certificate offers a web-based database. This helps suppliers or vendors to talk about ethical data for more clarity, such as audit reports, with their customers. Similarly, customers can check their suppliers and view the ethical reports shared with them for better analysis and work processes.

What is SEDEX Certificate?

The definition of Sedex requires companies to complete both the SEDEX platform participation and the SMETA ethical trade audit, which demonstrates their supply chain compliance with responsible labour standards and safety requirements, environmental protection practices and business ethical guidelines.

Industry-wise requirements for SEDEX Certification

SEDEX for Garments & Textiles

SEDEX for Garments & Textiles

In the apparel industry, the auditors particularly scrutinize the exploitation of workers and transparency in subcontracting.

  • Critical Focus: The auditors will verify whether the workers paid any recruitment costs to the labor contractors to secure their jobs.
  • Subcontracting Control: You need to prove a Mapping of the origin of your fabrics and trim materials to ensure there is no hidden child labor in the smaller subcontracting units.
  • Chemical Management: Safe storage of dyes and chemicals, including the display of Material Safety Data Sheets (MSDS) in the local language.
  • Piece-Rate Wage Verification: If your tailors work on a piece rate, you need to prove that their earnings equal or exceed the Indian Minimum Wage rate for an 8-hour shift.

SEDEX for Food & Beverage

For Food Exporters (Spices, Grains, Processed Food), the area of overlap between Social Compliance and Food Safety is the area of highest priority.

  • Critical Focus: Hygiene & Health. Food handlers’ medical fitness certificates are a must, evidencing that the food handler does not carry any communicable disease.
  • Living Conditions: If you provide accommodation for workers, as is common for seasonal agri-processing, then the accommodation must meet very high standards for floor area, ventilation, and fire safety.
  • Seasonal Labor: Migrant Labor or seasonal labor must be equally well documented, just as for permanent staff (PF/ESI compliance).
  • Personal Protective Equipment (PPE): Auditors look for food-grade PPE (hairnets, gloves, aprons) and must see that the company, not the worker, paid for it.

2026 SEDEX Certification Updates

  • Systems Over Documents: Auditors no longer audit documents but rather audit the Management System. You are now rated based on a Maturity Scale ranging from Not Addressed to Robust.
  • The 3-Week Window: Announced audits are a thing of the past. Most audits in 2026 have a 3-week window to audit the real daily operations at your Indian facility.
  • Real-time Reporting: Auditors have moved into the digital age with tools that are electronically connected to your SAQ (Self-Assessment Questionnaire). This gets your CAPR (Corrective Action Plan Report) issued much quicker.
  • Collaborative Action Required (CAR): A brand-new audit category for 2026. Complex issues such as Living Wages must be solved through a collaborative effort by the Buyer and Supplier.

Common Mistakes in SEDEX Audits

  • Inconsistent Record Keeping

The attendance records are verified with the production records and the electricity bills. In case of any discrepancy, it amounts to Inconsistency of Data under SMETA 7.0, and it is a critical non-compliance as there is a lack of transparency involved.

  • Excessive Overtime and Lack of Rest Days

Exceeding 60 hours of work in a week, including OT hours, or not providing one full day of rest every seven days amounts to a major non-compliance. Even if your workers voluntarily take up the OT hours, it amounts to a non-compliance on your part in the production planning area. .

  • Scripted Worker Interviews

Experts at audit interviews, the auditors may easily detect any scripted answers. Even if your workers give similar answers, it amounts to Audit Interference, and your integrity is questioned.

  • Inadequate Management Systems

It is not just having the documents, but having a system. Not having a written SOP, internal audits, or compliance officers will result in a low Maturity Rating, indicating that your compliance is not proactive.

  • Illegal Wage Deductions

Any deductions in the uniforms, PPE, and ID cards that result in the worker receiving a wage lower than the minimum wage is a major problem. The Employer Pays Principle states that the company must pay for all the costs of employment and safety.

  • Blocked Exit Routes and Safety Hazards

Blocked fire exits or doors is a Total System Failure in the year 2026. Having one corridor blocked during a time of high production will result in the company having to go through a costly re-inspection of the entire company.

  • SAQ Discrepancies

Answering all the questions perfectly in the online version of your SAQ but not showing the reality of the situation is a major problem. Having a different number of workers or the usage of chemicals will impact your trust level with the global buyers.

Frequently Asked Questions

Can a small company with 50 employees get SEDEX certified?

Yes. It is scale-neutral. Small units will find it easier to comply with this scheme because it will take a shorter period of time to audit (usually 1 day) and documentation requirements will be less.

What is the validity period of a SEDEX (SMETA) certificate?

From a technical standpoint, there is no such concept as expiry. However, it is expected that most buyers require a refresh audit to be carried out at least every 12 to 24 months. SMETA 7.0 considers a report outdated if it is older than 2 years.

Can SEDEX and ISO certification be obtained together?

Yes. They are highly compatible. ISO is based on management systems, whereas SEDEX is based on social/ethical impact. Companies that have ISO 9001 and 45001 may be able to reduce preparation times for a SEDEX audit.

What should you do if your SEDEX audit fails?

Fix the Non-Compliances (NCs): You do not fail, you get a CAPR (Corrective Action Plan Report).

Upload Evidence: You upload photos or documents to the portal within 30-60 days to close the findings.

Follow-up: Some Critical NCs may require a brief 1-day site visit by the auditor.

What is a SEDEX number?

These are your unique digital identifiers on the global Sedex database. Buyers use these to link to your facility.

ZC Number: Your Company reference code.
ZS Number: Your specific Site/Factory reference code. A company with multiple units will have one ZC, but multiple ZS numbers.

What is SAQ, and how do you fill it out?

The definition of the term SAQ is the mandatory online form that you are required to fill out before the audit process.

The process of filling out the SAQ involves logging in to the Sedex platform, after which you are expected to fill out the questions regarding the Labor, Health & Safety, and Ethics aspects, which determine your initial risk score.
